Background: The fundamental mission of UNICEF is to promote the rights of every child, everywhere, in everything the organization does in programs, in advocacy and in operations. The equity strategy, emphasizing the most disadvantaged and excluded children and families, translates this commitment to children's rights into action. For UNICEF, Health & Nutrition (H&N) Section has grown very fast over last 2 years and has more than 10 people in the section with backlog of many transaction, donor report and follow-up to some critical tasks. Hence, the section is looking for an office manager who can support the chief of section in improving the management and follow-up of deadlines with the professional team and both in terms resource mobilization and efficient fund management.
Purpose
The incumbent is responsible for supporting UNICEF MENA RO H&N Section colleagues with the documentation of day to day events, important deadlines, section and other meetings in the office and outside, preparation for large meeting, country missions, follow-up on action points from meetings and missions, keep track of grants and proper utilization before expiry and submit donor reports before deadline.

KEY FUNCTION / RESPONSIBILITIES
  • Produce comprehensive analysis of the situation in the section in consultation with the team members and identify areas of improvement (in line and continuation of previous discussions).
  • Prepare a list of the main deliverables form Work plans and monitor major milestones and deadlines for the deliverables and remind Chief of Section and other members.
  • Build capacity of the section colleagues in monitoring the progress of major milestones and day to day activities and remind the deadlines on a regular basis.
  • Support PAs to prepare a table of all grants and monitor on a weekly basis regarding the expenditure, balance and analysis of relevance of utilization against deliverables in consultation with chief of section.
  • Be the focal person for contracts management and supply plan for the whole section nad produce monthly update and follow-up with relevant program officer and mentor PAs in doing so in future.
  • All required programme reports are prepared on time in compliance with established guidelines and procedures.
  • Emergency preparedness is maintained, and in emergencies, emergency responses with effective coordination provided.
  • Improve the management of information system within the section and with special focus on the immunization information system.
  • Other assigned duties and responsibilities by the chief of section chief effectively performed
  • QUALIFICATION and COMPETENCIESEducation
Basic university degree in the social/ behavioral sciences (Sociology, Anthropology, Psychology, and Statistics) with emphasis on planning, social mobilization, participatory research and training and coaching. Advanced level skills in Access, Excel, VISION and Dev Info are required
Work Experience

2 to 5 years progressively responsible work experience in office management, supporting senior management, monitoring funds and meeting deadlines for deliverables by the team members., including two years in developing countries, with practical experience in the adaptation and application of work plans. Experience of working or familiarity with health and nutrition, polio eradication with broader immunization is desirable.
Language Proficiency
Fluency in written and spoken English essential, basic Arabic would be an advantage.
