Purpose of the Position

The purpose of this post is to provide administrative support and assistance to the Supply and Logistics team in terms of making sure that Supply and Logistics functions are being provided effectively in support of the programme implementation activities in the MENA regional office, as well as country offices in the region.
Key Accountabilities and Duties & Tasks
  • Provide rapid and relevant assistance and support to evolving supply needs and situations facing children and families, including emergency situations, with a priority on achieving value for money.
Provides administrative support in preparation of appropriate documents, and input on specifications and supply and logistics arrangements, facilitating cost-effective efficient procurement, clearance, storage and distribution of supplies and equipment to project sites, in support of the country programme implementation.
  • Contribute to sound, accurate supply/logistics management systems, procedures and documentation as well as regular, accurate reporting to maintain the highest level of integrity, standards and accountability.
Act as administrator for supply and logistics records. Participate in the preparation/compilation of the supply status reports required for donor reports, budget reviews, programme analysis, annual reports, appeals, etc. Manage vendor database.
Help to develop and communicate accurate inventory tracking, inventory aging and incoming supplies information.
  • Support UNICEF as well as Government capacity-building in order to enhance efficient, effective and timely supply delivery,Maintain records of all MENA supply and logistics related training, including staff attendance. Prepare admin notes for trainings hosted in Amman.
  • Support monitoring of effective procurement, local, regional and/or offshore, with a goal to attain lowest cost without sacrificing quality as applicable.
Support and undertake field visits to vendors' premises and project sites.
Maintain data on and evaluate local supply sources' overall performance, (competitive pricing and timely delivery).
  • Collaboration and Partnership

Support coordination with the Programme Section on supply planning, providing technical information on procurement specifications and supply administration.
Qualifications of Successful Candidate: Education:
Secondary education required, with completed university courses in business administration, supply chain management, office management, or any other relevant field highly desired.
Experience:
  • At least four (4) years of progressively responsible administrative and/or supply-related work experience
  • Strong data management skills
  • Experience in supply operations, logistic, and purchasing administration is an asset
  • Capacity to prioritize and manage a diverse range of projects and activities
  • Ability to set high standards for quality of work and consistently achieve project goals
  • Familiarity with UNICEF, UN or INGO an asset
  • Prior experience with UNICEF/UN administrative policies and procedures desired
  • Demonstrated planning, communication and writing skills
  • SAP experience is an asset
  • Fluency in English and Arabic.
