Passing the Administrative Assessment Support Test (ASAT) in English at Headquarters, ECA, ESCWA, UNOG, UNOV, ICTR, or ICTY or the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Service category in the United Nations Secretariat.
Organizational Setting and Reporting
This position is located in the DPKO-DFS Correspondence Team, Office of the Chief of Staff, DPKO/DFS.
Responsibilities
Within delegated authority, and under the direct supervision of the DPKO-DFS Correspondence team leader, the Editorial Assistant will be responsible for the following duties:
- Assists in screening documents submitted for editing for the signature of the USG/DPKO and USG/DFS in order to ensure compliance with submission standards and regulations;
- Registers incoming and outgoing texts in the DPKO/DFS electronic document-tracking system (Comet2); informs senior Assistants of technical problems concerning submission and registration and assists in resolving them.
- Assists senior Assistants in tasking incoming documents to departmental Offices and Divisions and tracking subsequent workflow; keeps all concerned informed of changes in processing schedules.
- Provides reference assistance to departmental staff, contacting other UN offices and permanent missions as necessary.
- Responds to queries from departmental Offices and Divisions concerning documents submitted for processing; refers queries to the appropriate parties as necessary.
- Compiles statistics on the processing and workflow of the incoming and outgoing correspondence;
- Ensures that all staff in the Correspondence Team, including temporary staff, have basic computer equipment, software, and telephone and e-mail services; takes charge of all arrangements connected with this task.
- Provides basic computer technical support to all staff in the Correspondence Team; performs basic trouble-shooting functions in a timely manner; maintains contact with DFS Information and Communications Technology Division (ICTD) and reports problems to the DFS Call Centre when required.
- Performs general office support functions for the Correspondence Team, using IMIS to requisition supplies and maintains attendance records.
- Carries out other tasks requested by the team leader; covers other General Service staff functions, including those of the team leader when the staff members are absent on annual or sick leave.

Education
High school diploma or equivalent.
Work Experience
A minimum of five years of experience in office support functions and in screening and registering, editing and proofreading documentation submitted for processing. Experience in providing reference or technical support to departmental staff is desirable. Experience working in a high-level front office is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of French is highly desirable and knowledge of another official United Nations language is an advantage.
Assessment Method
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
